Sharing Information with Driving Instructors

1st Intensive Driving Limited acts as an agent arranging tuition with self-employed driving instructors. To check availability and provide the service you have requested, we need to share appropriate information with prospective or allocated instructors.

This may include:

  • Your name and contact details.
  • Your postcode, general location or agreed lesson collection area.
  • Your manual or automatic tuition preference.
  • Your availability and intended course dates.
  • Your previous driving experience.

We aim to provide only the information reasonably required to check availability, contact you and deliver the tuition.

Following allocation, your instructor may communicate with you directly and maintain their own lesson, payment and business records. The instructor may therefore have their own responsibilities under data-protection law.

7

Who Else We May Share Information With

We do not sell your personal information. We only disclose information where it is reasonably necessary for providing our services, running our business or complying with the law.

Organisations processing information on our behalf are expected to protect it appropriately and use it only for the relevant service or another purpose permitted by law.
8

The way payment information is handled depends on whether payment is made to 1st Intensive Driving Limited or directly to a self-employed driving instructor.

1 Payments to Us

Where payment is made through our website or another payment facility, the transaction may be processed by a bank or specialist payment provider.

2 Information We Receive

We may receive the amount, payment status, transaction reference and limited information needed to match the payment to your booking.

3 Instructor Payments

Payments made directly to a self-employed instructor are subject to that instructor’s own payment, accounting and record-keeping arrangements.

Never send complete payment credentials. We do not need you to send full card details, online-banking passwords or security codes through our enquiry form, by text message or through ordinary email.

How We Handle and Retain Information

These sections explain how website technologies may collect information, how sensitive information is handled and how long records are normally retained.

9

Website Analytics, Cookies and Embedded Content

Cookies are small data files placed on your device when you visit a website. Some cookies are essential for the website to operate, while others support optional functionality, analytics or advertising.

For further information and available controls, please read our Cookie Policy . Where a cookie-preference tool is displayed, you can use it to accept, refuse or change your optional-cookie choices.

10

Health, Accessibility and Other Sensitive Information

You may choose to tell us about a health condition, disability, accessibility requirement, learning need or communication preference where it is relevant to instructor selection, safety or the delivery of tuition.

How This Information May Be Used

  • To consider whether a particular instructor or vehicle may be appropriate.
  • To communicate relevant requirements to an instructor who is checking availability.
  • To help an allocated instructor prepare for and deliver your tuition appropriately.

Please only provide information that is genuinely relevant to arranging or delivering your course.

Where this information is classed as special-category data, we will identify an additional legal condition for using it. This may include your explicit consent.

You may withdraw consent for future processing where we rely on consent. However, this will not affect processing that was lawful before your consent was withdrawn.

11

How Long We Keep Personal Information

We retain personal information only for as long as it is reasonably required for the purpose for which it was collected. We also consider legal, accounting, insurance, fraud-prevention and dispute-resolution requirements.

Type of information Normal retention approach
Enquiries that do not result in a booking Normally retained for up to 12 months after the last meaningful contact.
Course, booking, payment and instructor- allocation records Normally retained for up to six years after the course or customer relationship ends.
Accounting and transaction records Retained for the period required by applicable tax and accounting rules.
Complaints, disputes and legal correspondence Normally retained for up to six years after resolution, or longer where a legal matter requires it.
Optional marketing records Retained until you unsubscribe, withdraw consent or the information is no longer required. A minimal suppression record may be retained to respect your preference.
Website security and technical logs Retained according to operational, security and provider settings, unless needed to investigate an incident.
These are normal retention periods rather than absolute rules. We may delete information sooner when it is no longer required or retain it longer where reasonably necessary for an investigation, legal claim, safeguarding concern or statutory obligation.

Protection two Contractual Safeguards

Approved contractual protections may be used where an organisation processes information in another country.

Protection three Another Legal Mechanism

Another transfer protection or exception permitted by UK data-protection law may apply in an appropriate situation.

We take reasonable steps to ensure an appropriate transfer mechanism is used where one is required. You can contact us if you would like more information about safeguards relevant to your personal information.

Protection and control

Keeping You Informed and in Control

We take reasonable steps to protect personal information and respect the rights available to you under data-protection law.

Optional Marketing

We may retain a minimal suppression record after you opt out so that we can continue to respect your preference.

16

Younger Learners and Payments by Other People

Some learners may be under 18 when they first contact us or begin their driving tuition. We only use their information where it is necessary and appropriate for dealing with the enquiry, arranging tuition and administering the course.

Parents, Guardians and Other Payers

A parent, guardian, employer or another person may contact us or pay for a course on behalf of a learner. In that situation, we may record the payer’s contact and transaction information separately from the learner’s information.

Information about a learner will only be shared with another person where appropriate authority exists, the learner has agreed, sharing is reasonably necessary for the arrangement, or disclosure is otherwise permitted or required by law.

A person paying for tuition does not automatically have an unrestricted right to receive all information about the learner, their lessons or their communications with the instructor.
